AI Tools for Irish Tradespeople: Save Time on the Paperwork

You did not get into the trades to sit at a kitchen table writing emails at ten o'clock at night. But here you are.

The paperwork never stops. Quotes, follow-ups, awkward customer messages, social media — it all adds up. And most tradespeople are doing it alone, in the gaps between jobs.

AI tools cannot grout tiles or wire a consumer unit. But they can take a big chunk of that admin off your plate. Here is how.


1. Write Quotes and Estimates Faster

Think about how long it takes you to write a proper quote. You do the measurement, you price the materials, and then you have to put it all together in a way that sounds professional. That last bit — the writing — is where AI helps.

ChatGPT (free at chat.openai.com — it is just a website you type into, like Google but it answers back) can write the wording for your quote in about 30 seconds.

Tell it what the job is, what is included, and what is not included. Ask it to write it clearly and professionally. You copy it into your usual quote document or email and you are done.

Example: Padraig is a plumber in Cork who does bathroom installations. Before ChatGPT, he spent 20 minutes on every quote writing it out. Now he types the job details in, copies the wording it gives him, and he is done in five minutes.

Try this:

"Write a professional quote introduction for a bathroom installation job. Includes: removing old suite, supplying and fitting a new toilet, basin, and shower tray. Does not include tiling. Customer is in Cork. Keep it friendly and clear."


2. Follow Up With Customers Who Have Gone Quiet

You send a quote. They say they will think about it. And then nothing.

Chasing people feels awkward. You do not want to seem pushy, but you also need to know if the job is happening so you can plan your diary.

ChatGPT will write you a follow-up message that is friendly, not pushy, and sounds completely natural. You just copy it and send it.

Example: Niamh is an electrician in Waterford. She uses this every week. She tells ChatGPT that she sent a quote a week ago, the customer has not replied, and she wants to follow up without being annoying. It writes her a two-line message that she texts or emails to the customer.

Try this:

"Write a short, friendly follow-up text message for a tradesperson. I sent a quote for rewiring a kitchen seven days ago and haven't heard back. I want to check in without sounding pushy. Keep it brief."


3. Handle Difficult Customer Messages Without Losing Your Cool

Some customers send messages that would make anyone want to fire back. A complaint that is not your fault. A bad review that is completely unfair. Someone being rude about a price.

Replying when you are annoyed is a bad idea. Replying with the help of ChatGPT is a much better one.

You paste in what they said. You tell ChatGPT you want a professional, polite response that addresses their concern without backing down. It writes you something you would never have come up with yourself in that moment.

Example: Donal is a builder in Mayo. A customer messaged to say the job was not finished on time, even though Donal had been delayed because the customer changed the spec halfway through. Donal pasted the message into ChatGPT, explained the situation, and asked for a calm, professional reply. He sent it. The customer apologised.

This is one of the most useful things any tradesperson can do with AI. It keeps you professional even when a customer is being unreasonable.


4. Create Social Media Posts Showing Your Recent Work

If you are not posting photos of your work on Facebook or Instagram, you are missing out on free advertising. People in your area are looking for tradespeople every day. A post showing a clean bathroom installation or a freshly painted kitchen can get you more work than any ad.

But coming up with the words to go with the photos? That is the bit people skip.

ChatGPT writes the caption for you. Tell it what the job was, where it was (you do not need to name the customer — just the town is fine), and what you want to say. Ask it for something short and friendly that will make local people want to get in touch.

Try this:

"Write a short Facebook post for a tiler who just finished a full bathroom tile job in Tralee. New walk-in shower area, large format tiles, very clean finish. Include a call to action asking people to get in touch for a quote. Keep it casual and local."

You can do a week's worth of captions in ten minutes.


5. Answer Common Questions Automatically

Do you get the same questions over and over? "Do you cover my area?" "Are you VAT registered?" "How long does a rewire take?" "Do you supply materials or just labour?"

You can set up an automatic reply on your Facebook page or WhatsApp Business (a free version of WhatsApp that is designed for businesses) that answers these questions before you even look at your phone.

Write out the answers once — with ChatGPT's help if you want — and set them up as an auto-reply. Anyone who messages you gets the key information straight away. You look responsive and professional even when you are up a ladder.

6. Get a Simple Privacy Policy Sorted

If you have a website, you are supposed to have a privacy policy on it. A privacy policy is just a page that tells visitors what you do with their information — like if they fill in a contact form, what happens to their email address.

Most tradespeople's websites do not have one. It is not urgent, but it is one of those things you should sort.

ChatGPT can write a basic privacy policy for a sole trader with a simple website in about a minute. Tell it you are a sole trader (one-person business), what country you are in (Ireland), what your website does (just a contact form, no online shop), and ask for a plain-English privacy policy.

You are not a law firm. A basic one that covers the basics is fine for a small trades website.
